Job Purpose
Responsible in warehouse daily operation duties of coordination and ensure all requirement document is in place and compliance to rule & regulations.
Duties and Responsibilities
- Marine Logistics Executive/ Assistant Manager assists the Marine Logistics Manager in the day to day operations and their functions including:-
- Sea staff engagement and deployment on/off vessels.
- Assess and identify sea staff of good potentials and make recommendations for their specific deployment and promotions.
- Briefing Sea staff prior to their joining vessels with regards to SEMS matters as required, Charterers’ requirement, and any unique nature of the trade and Port requirements.
- Brief Sea staff prior to their joining vessel with regards to the operational aspects of the vessel and charterer’s requirements.
- Control and monitor vessels daily activities.
- Control and monitor budgets relevant to Operations Department.
- Maintain, control and monitor Company SEMS, Port and Charterers requirements, in conjunction with QHSSE Dept.
- Arrange and deploy Sea Staff for in-house training and external approved short courses training.
- Carry out annual Vessel Operation Inspection Audits as assigned by Manager in conjunction with the DPA.
- A member of the shore Emergency Response Team for the relevant vessels they are in charge of.
- As one of the incident investigators, if so appointed by Marine Logistics Manager or as required by the Designated Person Ashore,
- Carry out necessary formalities and documentary requirements with Flag State, Port Authorities, Immigration and Customs for sea staff signing on/off vessels.
- Maintain and update an efficient filing system for the Operations Department.
- Sourcing and appointment of agency with approval from the Marine Logistics Manager.
- Contacting ex-seafarer for redeployment.
- Sourcing for new seafarer and arranging for interview of senior officers with the respective department heads.
- Checking seafarer’s certificates, including arrangement for medical check-up as per Charterer’s requirement.
- Checking of seafarer’s certificate authenticity with the relevant authority and application for Flag State licence.
- Maintaining up-to-date seafarer’s personnel file and monitoring seafarer’s certificates and documents expiry.
- Updating crew planning/rotation list and crew list.
- Ensuring crew appraisal assessment is being conducted, signed and filed.
- Extension of crew’s entry pass and ship’s landing pass with Singapore Immigration authority.
- Declaration of immigration clearances and outward port clearance.
- Update of crew article, including sign on/off via MPA Marinet.
Qualifications and Requirements
- At least Diploma in Logistics Supply Chain Management or Business Studies
- Expertise: 3-5 yrs working experience in Marine lubricant logistics supply operations
- Knowledge: Port operation and shipping & transport coordination
- Skill: Excel worksheet , Planning, scheduling and Marine deliveries to vessels
Working Conditions
- 5.25 Working days per week but may be subject to O/T and working during weekends and holidays.
- Could expect to work in stuffy, noisy and dusty environment.
- May need to travel out of Singapore occasionally.
- Mandatory wearing of appropriate PPE when on duty.
